Dental Management Suite

Management Suite (DMS) is a comprehensive Windows application that streamlines daily operations for dental practices, including appointment scheduling, patient records management, billing, reporting, and insurance claim processing.
Through competitive analysis, I identified a significant market gap and recommended adding a free dental claim submission feature. This recommendation was adopted and became the product’s primary differentiator and key selling point.

My role & deliverables:
- Led end-to-end UI/UX design for the desktop application
- Created all visual assets and artwork (Adobe Illustrator)
- Designed, built, and coded the marketing website
- Developed the full user documentation and training materials
- Produced all marketing collateral

The design focused on three core goals: dramatically improving usability for busy dental staff, enhancing patient experience, and ensuring full regulatory compliance.


DISCOVERY

- Stakeholder Interviews
- Conducted in-depth interviews with dentists, office managers, hygienists, and front-desk staff to uncover real pain points and workflow inefficiencies in existing systems.


USER RESEARCH

Distributed surveys across a broader group of dental professionals to validate needs, priorities, and friction points in daily operations.

COMPETITOR ANALYSIS
Evaluated leading dental management platforms to identify strengths, weaknesses, and opportunities for differentiation. This research directly informed the decision to introduce the free claim submission feature.

PERSONAS
Created detailed personas for key user roles (Dentist, Hygienist, Receptionist/Office Manager) based on research data, highlighting their goals, workflows, frustrations, and technical comfort levels.

USER JORNEY MAPPING
Mapped end-to-end journeys for each persona across current systems. Clearly identified major drop-off points - particularly in scheduling and accessing patient information - which became key focus areas for the new design.


INFORMATION STRUCTURE

Defined a clear, scalable structure and navigation system that allowed users to move quickly between core modules (Scheduling, Patients, Billing, Reports) with minimal cognitive load.

WIREFRAMING
Produced low-fidelity wireframes to explore layout options, information hierarchy, and primary user flows before committing to high-fidelity designs.

PROTOTYPING
Built high-fidelity interactive prototypes in Figma and Adobe XD. These prototypes were used for stakeholder reviews and usability testing.


USABILITY TESTING
Conducted multiple rounds of usability testing with target users. Gathered actionable feedback on navigation, efficiency, and satisfaction, then iterated on the designs accordingly.

VISUAL DESIGN
Developed a clean, professional, and trustworthy visual language aligned with healthcare standards. Established consistent color palette, typography, iconography, and component library that conveyed reliability while remaining easy to use in a fast-paced clinical environment.

IMPLEMENTATION & LAUNCH

Development Collaboration
Worked closely with the development team throughout the build phase, providing detailed specifications, design assets, and ongoing support to ensure the final product matched the design vision.

Quality Assurance
Participated in functional testing, performance testing, and User Acceptance Testing (UAT) to validate that all features met both design and business requirements.

Training & Documentation
Created comprehensive user guides, quick-reference cards, and video tutorials. Conducted live training sessions to support smooth onboarding for dental office teams.

Launch & Iteration
Supported the product launch and monitored real-world usage. Collected post-launch feedback and planned iterative improvements based on actual user behavior.

iPad Version (2018)
Adapted the full Dental Management Suite for iPad while preserving the established desktop UX patterns. The tablet version was optimized for touch interaction, larger screen real estate, and mobile workflows, delivering a consistent and intuitive experience across devices.
